Without Maximum Quantity:

  • You can release unlimited quantities (up to the overall Blanket PO maximum value)
  • Example: “Paper at RM 25/box” — release as much as you need until RM 50,000 total is reached

With Maximum Quantity:

  • You set a specific quantity limit for that item
  • Example: “Paper at RM 25/box, max 1,000 boxes” — system prevents releasing more than 1,000 boxes even if budget remains

When to Use Maximum Quantity:

  • When supplier offers volume discounts only up to certain quantities
  • When storage space limits how much you can receive
  • When you want to force variety (don’t spend entire budget on one item)

Adding Line Items:

  4. Enter Unit Price: The negotiated price (this locks the price for all releases)
