The Warranty Admin Applet is part of an integrated ecosystem, communicating with several other modules to automate tracking and claims:

  • External Sales Invoice Applet / POS Applet:
    • Feature: Automatic creation of registrations.
    • Details: When a serialized product (item with “Serial Number Required” enabled) is sold, these applets capture the serial number and customer details. Once the invoice/sale is completed, a corresponding Product Registration is automatically created in PENDING status in the Warranty Admin Applet.
  • Customer RMA / Internal RMA Applet:
    • Feature: Active warranty validation.
    • Details: When processing returns or claims, support staff can query the Warranty Certificate listing to verify coverage status, expiry date, and original purchase details prior to approving a customer return or supplier return-to-vendor (RTV).
  • Inventory / Items Master:

    • Details: Connects with the items registry to pull standard warranty duration templates (e.g., years, months, days configured on the Item SKU) when calculating warranty expiry dates.

For Sales & Retail Teams: Automatic Warranty Registration

Goal: Record a sale and automatically register product warranty coverage in under 2 minutes.

Note

There is no manual creation or “+” button in the Warranty Admin Applet. Product registrations are created automatically when a sale is captured in the connected sales systems.

  1. Record the Sale: Open the POS Applet or External Sales Invoice Applet to create a new sale.
  2. Scan/Identify Product: Enter or scan the Serial No. of the hardware unit (must be a serialized item).
  3. Capture Customer Details: Link the sale to a customer profile, ensuring Customer Name, Customer Email, and Mobile No. are filled in.
  4. Complete Transaction: Confirm the transaction/invoice. A new record will automatically appear in the Warranty Admin Applet in PENDING status.

Pro Tip: Always capture a clear photo/scan of the physical invoice/receipt and attach it to the registration record under the Attachments tab for audit purposes.


For Support & Admin Teams: Review, Verify, and Approve

Goal: Confirm registration data, approve the warranty, and issue the certificate.

  1. Find Registration: In the Warranty Admin Applet, go to Product Registration listing. Look for registrations in PENDING status.
  2. Verify Details: Click on the record to open the Product Registration View.
    • Review the customer name, email, serial number, and purchase date.
    • Click the Attachments tab to verify the uploaded receipt image.
  3. Set Warranty Period: The system automatically calculates the Warranty Expiry Date based on the product’s basic warranty definitions (configured in Settings). If needed, adjust the Warranty Period or Warranty Expiry Date field.
  4. Approve and Activate:
    • Click APPROVE to confirm. This moves the status to APPROVED and generates a Warranty Certificate under the Warranty Certificate listing in ACTIVE status.
    • Click DECLINE (and click again to confirm) if information is incorrect. This moves status to DECLINED.
    • Click SAVE to persist draft edits without changing status.

For Admins: System Configuration

Goal: Set up rules, templates, and layouts for the business.

  • Configure Default Periods (Settings > Default Selection):
    • Set default warranty periods (Years, Months, Days) that automatically apply to product registrations based on item attributes.
  • Set Form Fields (Settings > Application Settings):
    • Choose which fields are mandatory, visible, or read-only during registration review.
  • Design Email Templates (Settings > Email Template):
    • Customize the subject line, body, and placeholders for the automated email sent to customers when their warranty certificate is generated.
  • Design PDF Certificates (Settings > Printable Format Settings):
    • Choose and configure the printable template format layouts for the PDF certificates generated for customers.

Product Registration Management

The centralized hub for tracking and validating every product registration. The listing view provides powerful filtering capabilities to find registrations by customer details, serial number, product name, or purchase date.

Clicking any row opens the Product Registration View, which contains the following details organized into tabs:

1. Main Details Tab

This tab contains the primary information about the transaction, customer, and warranty period:

  • Created Date: Read-only date representing when the registration was generated in the system.
  • Customer Name: The name of the registered owner/purchaser.
  • Customer Email: The email address of the registered owner (used for automated certificate delivery).
  • Customer Mobile: The contact mobile number for the owner.
  • Product Name: The name/description of the item purchased.
  • Serial No.: The unique serial number(s) scanned for the unit. Multiple serial numbers are displayed as comma-separated values.
  • Purchase Date: The transaction date of the purchase.
  • Purchased From: The dealer, outlet, or sales channel where the unit was sold.
  • Warranty Period: The duration of coverage (calculated automatically from default settings, but adjustable by an administrator).
  • Warranty Expiry Date: The final date of coverage, calculated from the purchase date and warranty period.
  • Remarks: A text area for additional notes, audit logs, or special instructions.

2. Attachments Tab

Allows upload and viewing of documents (such as photos of the physical receipt, invoices, or product images) to serve as verification proof before approving registrations.

3. Warranty Certificates Tab

Displays the generated PDF certificate details and allows administrators to preview or download the certificate using the printable templates.

FAQ & Troubleshooting

Q: Can a warranty be transferred if the product is sold second-hand? A: Yes. An authorized admin can update the customer details on an approved registration. The original Purchase Date remains unchangeable to maintain the original warranty period.

Q: How do I handle a product exchange (DOA)? A: Product replacements (DOA) are processed through the connected RMA or sales systems. When the defective item is returned and a replacement unit is issued with a new Serial No., a new Product Registration is automatically created for the replacement unit.

Q: We sold 50 units to a corporate client. Do I have to register them manually? A: No. You do not need to register them manually. When billing the client, you can use the Excel invoice/line import features in the POS or External Sales Invoice applet to upload all 50 units with their serial numbers. Once the transaction is finalized, all registrations will automatically appear in the Warranty Admin Applet.

Q: The customer didn’t receive their certificate email. What should I do? A: Go to Warranty Certificates, find the specific certificate under the Warranty Certificates tab in the approved product registration (or in the main Warranty Certificate listing), and print/download the PDF format to dispatch or send to the customer. Ensure you verify the customer’s email address in their profile first.

Q: Can I extend a warranty that is about to expire? A: Yes, you can modify the Warranty Period or Warranty Expiry Date field in the Product Registration main details view and click SAVE.

Verify Serial Numbers: Always search the Serial No. before approving a pending registration to ensure no duplicate registrations exist for the same unit.
Consistent Naming: Ensure customers are registered with standardized names (Last Name, First Name) to make searching easier.
Verify Before Approving: Double-check the uploaded receipt/invoice photo in the Attachments tab against the entered metadata before clicking APPROVE.
