Numbers that do not agree
Two figures that should be the same, and are not. This is the commonest family of question we get by a wide margin, and the answer is nearly always the same shape: one of the two numbers was worked out once and written down, and the other is being worked out now.
Each answer is two or three sentences and a link. The page behind the link is the one that owns the explanation and the one that gets corrected when the product changes.
Where did this figure come from? Nothing on the screen says.
Some figures BigLedger works out the moment you open the screen; others were worked out once, written down, and are only redone on purpose. Which figures BigLedger stores, and which it works out fresh names the five places that trade-off is made, and what rebuilds each one.
How do I find out why a document did or did not post?
There is a screen for exactly that: Trace Document, in the Financial Report applet’s Error Checking section. Financial Report applet documents it, along with the Stock Flow Report beside it, which compares inventory value against accounting value per module.
The aging still shows an invoice I have already paid.
The aging report is last month’s photograph, taken in the early hours of the 1st — the invoice is right and the report has simply not been re-taken. The aging still shows an invoice that’s already paid gives the thirty-second check and what to use for collections instead.
Everything is matched to zero and the bank reconciliation still won’t tally.
One side of the reconciliation header re-derives itself and the other never moves after the statement was created, so matching more lines cannot close that gap. Everything is matched to zero and the reconciliation still won’t tally tells you which side is which.
The Trial Balance doesn’t agree with the ledger, or comes back empty.
Your statements are built on a monthly account summary that only exists because somebody ran Month End Processing — nothing runs it for you. The Trial Balance doesn’t agree with the ledger has the check; Financial Reporting walks the close.
The margin report and the profit and loss don’t agree.
No sales document posts a cost-of-sales journal — that is a period job — and the cost stored on a finalised line is rewritten by a back-dated purchase. The margin report and the profit and loss don’t agree explains both halves.
Two reports over the same period give different totals. Which is right?
They usually read different document sets — the purchase report, for instance, counts only finalised purchase invoices and returns, with no orders, no goods received notes and no drafts. Check what each report reads on its applet reference page before deciding either is wrong; Troubleshooting has the list.
My opening balances are in but retained earnings looks wrong.
Opening balances come in through their own migration path, and retained earnings is the line most groups get wrong on their second company. Opening Balance Migration walks it, and Set of Books, Fiscal Years and Fiscal Periods says which dates will still be accepted.
The order still shows a quantity outstanding after I invoiced it all.
An order’s outstanding quantity is a stored row — one per downstream document type — rather than a live subtraction, and there are three ordinary reasons it reads high. The order still shows a quantity outstanding works through all three.
