Finding Your Way Around: Inside an Applet

Inside an Applet: One Layout, Everywhere

Part of Finding Your Way Around: the layout every applet shares, so that once you can drive one applet you can drive all of them. It follows Launchpad Views.

Before you change anything under an applet’s gear menu, look at the heading: Settings changes the applet for everybody in the tenant, across all three GadgetSphere companies; Personalization is yours alone. The exception is Branch Settings, inside Settings, which is saved on the branch record and differs per branch.

Every applet has the same skeleton

Once you are inside an applet, the layout repeats. Learn it once.

A left-hand menu of screens. Typically one entry for the main document or record, plus listings and reports around it, and — at the bottom — a gear icon.

A listing as the landing screen: a grid with a quick search across the top.

Listings are filtered by default, usually on status and a date range. This is the single most common reason a document “is missing”: it exists, and the default filter is hiding it. Open Advanced Search and widen the date range before you conclude anything has gone wrong. If it is still missing, a second filter applies that no search widens: document listings return only the companies, branches and locations your permission names. That filter is set by whoever runs your tenant, not by you.

Advanced Search — the filter panel, with the fields that matter for that record type.

A create or edit form built from tabs or panels. On a document that is usually Main Details, Account, Lines, and then whatever is specific to that document. Which tabs you see, and in what order, comes from the applet’s settings — and those are shared across your whole tenant, every company and branch alike. So when your screen differs from a colleague’s, the reason is not that you work in a different company: look for a personal setting one of you has made, or a permission one of you holds.

Grids throughout: columns can be toggled, results grouped and totalled, and almost every grid exports to Excel or PDF from its own status bar. If you find yourself copying numbers off a screen by hand, look for the export first.

The gear menu holds two different things, and the difference matters:

  • Settings — configuration that applies to everybody in the tenant: there is one copy per applet, not one per company or branch. Default branch and location, default pricing scheme and price book, which buttons appear, permissions. Changing something here changes it for your colleagues, including those in your other companies.
  • Personalization — a smaller layer kept against your login and laid over the shared settings, for you alone. It is narrower than Settings: in most applets it holds a personal Default Selection and little else, so do not expect to find every Settings choice here.

One exception worth knowing: Branch Settings, inside Settings, is saved on the branch record and genuinely differs per branch. See settings and permissions for the whole picture.

If you are not sure which you are in, look at the heading before you change anything.

What success looks like for this part

Inside one applet you found a record the default filter was hiding, by widening the date range in Advanced Search; and before changing anything under the gear menu you knew whether you were in Settings or Personalization.

Common mistakes in this part

What goes wrongWhat you seeThe fix
“My document has disappeared”It is not in the listingThe listing’s default status and date filters are hiding it — use Advanced Search. If it is still missing, your permission does not cover that company or branch
Changing a Setting meaning to change it for yourselfColleagues’ screens change too, in every companySettings is tenant-wide; Personalization is yours
Copying grid data by handErrors, and a slow afternoonAlmost every grid exports to Excel or PDF

The rest are on the front page and on Launchpad Views.
