Membership Guides

“Where do I enrol a loyalty member, and what has to exist first?” These four guides are the jobs of keeping a loyalty programme’s member records, for whoever owns the programme or runs the counter’s membership desk. They are listed in the order that avoids rework, because a member can only be given a class or a label that already exists.

A member here is a customer in your loyalty programme. Staff logins and access are a different record: Teams and permissions.

The order, and why it is that order

  1. Classes first. The class is the tier, and it is what a price at the till, a commission scheme, a voucher’s class rule and the birthday gift read about a member. A member holds one at most, and nothing in BigLedger moves a member between classes for you (Member Classes and Labels).
  2. Label lists, then labels. A label created inside a list carries that list’s code, so the lists are cheaper to get right before the fiftieth label than after it.
  3. Members last, once their codes exist. A member is given a class and labels by code, and the point currency members collect has to exist before the first one earns. On the member upload, a row that names a class or a label that does not exist yet is skipped while the rest of the file goes in, and the file still reports DONE. Build the codes first and count the members afterwards.

Two settings outside these guides decide whether a new member works the way you expect: the card-number rule, which decides the card number every points call uses, and the company’s member-point setting, which decides which finalised documents award points. Both are hard to put right after the first members and bills, so check them before you start (Before you start on Registering a Loyalty Member). The whole programme’s setup order, in every applet, is on Setting up the programme.

When a member’s points or vouchers look wrong

Start from the symptom on Membership points and vouchers — troubleshooting, which walks the chain from the bill to the balance the till offers.

What these guides do not cover

The programme’s design is in the Membership module: where points come from and why nothing in the module posts to the ledger is on Membership in Depth. Vouchers are on Voucher Rewards, and referral programmes on the MLM Admin applet. Every screen and field of the applet these guides use is on the Membership Admin applet reference.
