Where every document number comes from

You can say where each running number on a GadgetSphere document comes from, tell the tenant…

The counter

Step 1 — Know the one counter behind every number

You will know where the running numbers in your tenant, GadgetSphere's whole BigLedger account, come from.

What this step names
  1. BigLedger keeps one table of counters for the whole tenant
  2. The numbers it stamps on documents are drawn from it: cash bills
  3. Invoices
  4. Vouchers
  5. Stock documents
  6. The customer and supplier codes it generates as well

Step 2 — Read the three numbers on each document

You can tell which number you are looking at.

What this step names
  1. The company number and the branch number
  2. Doc No (Company) and Doc No (Branch)
  3. Are stamped only when the document is finalised
  4. Each from its own sequence
  5. A branch number only if the document has a branch

Step 4 — Explain numbers that are not in date order

You can answer the auditor who says the numbers are out of order.

  1. The numbers are plain integers
  2. With no prefix
  3. Year
  4. Branch code stored in them

A document with no number will not alarm you.
