This lesson is for you if you bought something from a shop that runs BigLedger and you want a Malaysian e-invoice with your own name and tax number on it. You are not one of their staff, you probably have no login, and you should not need one. In about seven minutes you will know what an e-invoice actually is, why the slip in your hand is not one, how long you have before asking gets much harder, and where to go and ask.

Step 1 — Know what an e-invoice is

An e-invoice is the tax record of your purchase, in the shape the Inland Revenue Board of Malaysia, LHDN, asks for. When you buy something, the shop sends a structured digital document to LHDN, LHDN checks it and answers Valid or Invalid, and only a Valid one counts as anything. A validated e-invoice carries an LHDN identifier and a QR code. The slip you were handed at the counter is a receipt, and it is not that document. If you gave the shop no details, your purchase is still reported — but gathered up once a month with thousands of other people’s, under a general buyer identity rather than your name. Asking for your own e-invoice is asking for that one sale to be reported separately, with your tax number on it.

Step 2 — See why your receipt is not the e-invoice

After this step you will stop asking a shop to reprint something that does not exist yet. The slip from the till is a receipt: proof you paid, and nothing more. The e-invoice is a separate document the shop sends to LHDN, and it becomes real only when LHDN answers Valid and gives it an identifier and a QR code. Nothing at all goes to LHDN while you are standing at the counter. Purchases where nobody gave their details are gathered up and reported once a month in a single document, with the buyer written down as General Public. Your purchase will be in there. Your name will not. That is the gap you are closing, and you are closing it before that run happens.

Step 3 — Ask before the monthly run

After this step you will know why today is far cheaper than next month. Until the shop’s monthly gathering-up happens, your receipt is still waiting on its own, and it can be taken out and reported individually with your real details on it. Once the run has happened and LHDN has validated that monthly document, your purchase sits inside a filed tax record. Getting it out then means the shop cancelling a document that covers thousands of other sales, within seventy-two hours of its validation, or issuing a credit note against it. Those are the only two routes, and neither of them is something you can start. Ask in the same month you bought, while your receipt is still on its own.

Step 4 — Find the door that is open to you

After this step you will know where to ask, whether you need an account, and who finishes the job — which matters more than it sounds. There are two ways in and which one you get depends on the shop. If they gave you a login to their e-invoice portal, usually because you buy from them regularly as a business, you sign in, choose the account you are acting for, and ask there. If they did not, look on their web store for a page carrying the e-invoice request form; you can use that as a guest, with no account at all. Remember which door you came through. A web-store request is finished by their system on its own. A portal request waits for a person at the shop.

Step 5 — Gather what you will be asked for

After this step you will not have to abandon the form halfway through. Have the receipt itself in front of you, because you need the cash bill or invoice number and then either the amount and the transaction date, or the PIN printed on it. Have your tax identification number, because the form will not let you submit until that number has been checked against LHDN’s records. Have an identification document, and an e-mail address you actually read, because as a guest that address is your only way back to the request. A full address with city, state and postcode, and a phone number, finish the job.
